Step 1: First take backup of the current version (Process for taking company backup

• Open the application current version, i.e., QuickBooks 2020
• Log in to the company file with Admin user access.
• Next, select the File menu at the top left of the tab.
• Navigate to the Backup Company option with your cursor.
• Once entered the Backup Company tab, select the Create Local Backup option as illustrated below.

• You will see the Create Backup window.
• You will see options to choose where you want to store your company file backup.

• If you need to make additional changes in your current backup settings- Click the Options button within the Create Backup window.
• Next, the application will start preparing your backup. Once backup gets saved, close the window.

Step 2: Update QuickBooks to 2021 (Upgrading QuickBooks company file from 2020 to 2021)

Please note that your company file will not be operational with the original version of the application after it gets upgraded to the 2021 version.

Before you move to upgrade your application, make sure that all users log out of the company that you wish to upgrade to the 2021 version.

• Open the program 2021 version on your Desktop.
• If you do not have a company file open, click on the File menu on the top left corner of the edition and click on the Open or Restore Company button.

• Select the Open a company file option. After that, click on the Next button.
• If you have a backup company file (QBB) rather than a company file (QBW), select Restore a backup copy.

• Now, click on the Local backup option.
• Next, a window will open and browse your computer for the company file.
• Once you find it, click on the file to select it and then click on Open from the window to open the file for upgrading. It has been illustrated below in the image.

Please note:

If you're unable to find your company file through the application:

1. Click on the Start Menu then go to File Explorer
2. Search for your company by its name or use the .qbw file extension.

 If you still can't find your company file, make sure that it is not hidden.

To enable the view of hidden files:

1. Use the file menu in file explorer on the top left.
2. Click on the Change folder and search options.
3. A window will open with a tab on the top named View.
4. Click on the View option, and click on the option that says Show hidden files, folders, and drives and then click OK.

• After selecting the company file, you need to sign in to it as the Admin user.

( Disclaimer : Before you upgrade, QuickBooks creates a backup of your existing company file automatically. In case you would like to change the default location of the backup you can do so by select the option to Change this default location.)

• Click on the Update Now option on the bottom right of the update window to begin upgrading your company file.

• Next, the upgrade process will begin and a progress bar will be displayed on the window. This has been illustrated below.

• After the update has been completed, you will be prompted with a window after successful completion.
• Then, click on the Done button to finish the upgrade.

Please follow the same steps for upgrading from another version of the application to the newer version.

How can you update your QuickBooks Desktop application?

In case you open your QuickBooks Desktop Application and a window with the title "Update QuickBooks?" appears as illustrated in Figure 3.1, then it means you need to download and install updates on your QuickBooks Desktop application

Steps to Update QuickBooks 2018/2019/2020 to 2021:

Step 1.

Open your Desktop Application.

Step 2.

Click on the Help menu from the top bar and click on the Update QuickBooks Desktop option. It has been shown below.

Next, the Update QuickBooks Desktop window will open. From the top bar of the window, select the Options tab.

Click on the Mark all option.

Next, click on the Save option.

Now, you need to go to the Update Now tab from the top bar.

In the Update Now tab, you will see various options for types of updates that you can choose to get for your QuickBooks Desktop Application.

Once QuickBooks has been updated, a message will appear on the screen to tell you that the update has been completed.

After the update is complete, you need to close your QuickBooks Desktop Application to finish the installation.

Step 12.

Open your QuickBooks Desktop Application again, if you receive the Install update prompt on your screen, click on the Yes button to install the update.

Step 13.

After the installation of the update is complete, close QuickBooks and restart your computer to finish the process.
